What we collect, and why we need it
This describes what actually happens on this website. We collect what it takes to send a car to the right place at the right time, and nothing whose only purpose would be to sell you something later.

What the booking form collects
Completing a booking asks for the trip and for the people on it. Every field is used to run that trip; none of it is optional decoration.
- Your name, email address and mobile number, so the confirmation reaches you and the chauffeur can call from the kerb.
- A company name, when you give one, so an invoice can be raised against the right account.
- Pickup and drop-off addresses, the date and time, the party size and luggage count, the vehicle class, and any extras such as a child seat.
- A flight number when the trip is an airport transfer, so the arrival can be watched and the pickup moved when the aircraft is late.
- Anything you type into the note to the chauffeur, which is read by dispatch and by the chauffeur driving you.

What the quote form collects
A quote request asks for less, because nothing has been committed to yet: your name, email address and phone number, the service you want, the day you travel, where the trip starts and ends, how many passengers there are, and whatever you write in the message box.
The request is held so that dispatch can price it and write back. If you do not go on to book, it is kept for the period below and is not used to market anything to you.

Accounts and signing in
Signing in to read your own bookings uses a link sent to your email address rather than a password you have to invent and remember. The link is single use and short-lived.
A signed-in session is held in a cookie that is necessary for the site to know it is still you between pages. There are no advertising cookies on this site and no third-party tracker following you around it.

How long any of it is kept
Bookings are kept for seven years after the trip, because they are the records behind invoices, HST filings and any dispute about a journey that has already happened. Quote requests that never became a booking are kept for twenty-four months and then deleted.
The delivery log that records which emails were sent about a booking is kept alongside the booking and for the same period. Sign-in links expire within the hour and are not retained after use.

Seeing it, correcting it, or having it removed
Write to reservations@northcrestexecutivelimos.com and ask. You may see what is held about you, have something corrected, or ask for your information to be deleted, and we will answer in writing within thirty days.
Deletion is honoured except where a record has to be kept to satisfy tax and accounting obligations. Where that applies we say so, name the part being kept, and give the date it can be removed.

How it is held
The site is served over HTTPS and the database is not reachable from the public internet. Access to the dispatch desk is limited to the accounts that need it, and every change an operator makes to a booking is written to an audit log with their name against it.
No system is beyond compromise. If information about you were exposed in a way that could cause you harm, we would tell you and the relevant authority, and we would say plainly what happened.

Changes to this policy
When this wording changes, the date at the top of the page changes with it. A change that materially affects bookings already taken is emailed to the addresses on those bookings rather than left here to be discovered.
