Planning wedding cars in the GTA: a run of day that holds

Every other kind of chauffeur work can be priced from two addresses and a clock. A wedding cannot, and the reason is worth understanding before you ask anyone for a number: what a wedding day costs depends on how many cars stand at the house, whether the lead vehicle waits through the ceremony or comes back for a second party, how far the photographs are from the reception, and what time the last guests need to reach their hotel. That is a timetable, and a timetable is the thing you are actually buying.
Count the movements, not the cars
The most useful hour you will spend on transport is the one where you write down every movement of the day, in order, with a time and a passenger list against each. Not vehicles — movements. Cars follow from movements, and almost nobody guesses the number of cars correctly before writing the list.

Send that list to dispatch in whatever form you have it — a spreadsheet, a photograph of a whiteboard, an email written at midnight. We would rather work from your real notes than from a tidy form that leaves out the awkward parts.
What comes back, and why it is not a single figure
What we return is a schedule with money attached: each vehicle, where it stages, when it moves, who is in it, and the fare itemised by vehicle and by hour. That document is the run of day, and every chauffeur working your wedding carries the same copy of it. One named coordinator writes it, briefs the chauffeurs from it and answers the phone while the day is happening, which is the difference between four drivers taking instructions from four different relatives and four drivers running one plan.
Once the quote is agreed the vehicles come off the availability board for your date. They are committed to you and are not offered to anybody else, which is the part that matters for a Saturday in June. Nothing is charged on this website at any point — an event day is quoted in writing, agreed in writing, and settled afterwards.
A held vehicle is the whole product. It is why a late ceremony moves the schedule instead of breaking it.

Two notes on that table, because dresses break the arithmetic. The Lincoln MKT Stretch seats eight in a lounge configuration, and a full skirt occupies more of that lounge than a person does — count seven when the dress is significant. The Mercedes-Benz Sprinter Executive is the quiet workhorse of a wedding, because it moves twelve guests in one go and does it again an hour later. The Lincoln Navigator L is the usual answer for parents, officiants and anyone who would rather step down from an SUV than up from a limousine.
Guest shuttles on a loop
If your venue is anywhere with a rural driveway or an awkward parking situation — and a great many of the good ones in Niagara Falls and Vaughan are — a shuttle loop is the single best thing you can do for your guests. The executive van runs a timed circuit between hotel and venue with published departure times, so nobody drives themselves home after the toasts and nobody stands in a car park at midnight negotiating with an application. Two or three passes at the end of the night usually beat one large movement, because guests never leave together.
Dressing the lead car
Simple ribbon and floral dressing on the lead vehicle by arrangement, fitted before the day begins and taken off before the car returns to service. We do not paint, wrap or otherwise alter a vehicle, and we will say no to anything that involves adhesive on paintwork. If your florist is supplying the flowers, tell us the size of the arrangement and we will tell you honestly whether it will survive the drive.
The timings that slip, and how to absorb them
Three legs run late on almost every wedding we work. Getting a large party out of a first address takes longer than anyone plans for; photographs always overrun, because a photographer with good light will keep going; and the gap between the ceremony ending and the party actually moving is never the five minutes it looks like on paper. Build the slack into those three rather than spreading it evenly across the day, and the evening will hold.
How far ahead to ask
The stretch and the executive van are the first vehicles to go for Saturdays between May and October, so six months is comfortable for those and a year is not excessive for a peak-season date. Anything inside a month is worth a telephone call rather than an email. Changes in the weeks before a wedding are expected rather than resented, and each one is re-quoted in writing so there is never a surprise at the end.
When you do not need any of this
A single car for a few hours needs no run of day and no quote. Book it through the ordinary hourly charter flow as an event charter, with the same minimum hours as any other block of time, and we will simply send it.
